Monday through Friday 9 am - 5 pm Receptionist Overview:
The receptionist position is the first point of contact and the first impression of the practice to the patients and all visitors, both in person and over the phone.
This is a customer service role, and the receptionist is to have a pleasant personality and will maintain a calm and professional demeanor in all situations.
The receptionist will also provide administrative support across the practice, including, but certainly not limited to, procuring office supplies, scheduling appointments, responding to and copying medical records requests, and much more.
Multi-tasking and stress management skills are essential for the candidate to be successful in this position.
This position is a full-time position, Monday through Friday, with one day being a clinical day.
Responsibilities:
- Greet patients and visitors, check in/check out patients for visits using the practice EMR.
- Answer phones and transfer calls to the appropriate person as needed.
- Retrieve phone messages and return calls or route them to the appropriate person, as needed.
- Ask pertinent questions of the caller or visitor and be able to answer appropriately and/or ask supervisor to assist.
- Understand urgent verses non urgent calls and requests, and handle appropriately.
- Obtain/update any and all medical records release forms, health insurance information, and changes in address, etc.
- Schedule new and follow up patients' in-clinic appointments and maintain communication to confirm future appointments.
- Process and submit medical records requests in a timely manner.
- Follow HIPAA patient health information rules and regulations.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.
g.
, business cards, forms, and brochures).
- Process patient payments and daily reconciliation of the cash draw and credit card terminal.
- Provide basic and accurate information in-person, via phone, and email.
- Receive, sort, and distribute daily mail/deliveries.
- Order front office supplies and keep inventory of stock.
- Update calendars and schedule meetings for physician(s).
- Keep updated records of office expenses and costs.
- Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Perform all tasks and responsibilities with the highest quality standards.
- Will ask questions and seek out answers and assistance from staff and supervisor as needed.
Requirements and skills - Proven work experience as a receptionist, front office Representative, or similar role in a busy physician practice.
- Proficiency in Microsoft Office Suite, Google Docs, and electronic medical record.
- Hands-on experience with office equipment (e.
g.
, fax machines, scanners, printers, credit card terminal).
- Professional attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- High school degree; additional certification applicable to a physician office preferred.
